Hokie Passport Services FacStaff FAQ

Hokie Passport Accounts and Dining Dollars are both conveniently accessed via the Hokie Passport ID card.

The Hokie Passport Account may be used in select university vending machines, laundry facilities, bookstores, retail locations on and off campus, and in university dining facilities.

Dining Dollars may only be used in Dining Services dining centers. Dining Dollars receive a 5% discount on purchases made in university dining centers.

Unfortunately, all deposits are final once a confirmation number or receipt has been generated. We apologize for any inconvenience. Fortunately, Hokie Passport Account funds and Dining Dollars will roll from semester to semester until formal separation from the university.

Transaction errors, while rare, can sometimes occur. If you believe that there has been a transaction error on your card-based account(s) (i.e. double-charge, incorrect charge, etc.), please address this issue with the merchant location where the transaction originally occurred. Card holders are responsible for safeguarding their card(s). Should your card become lost/stolen, the university assumes no responsibility for illegitimate use of cardholder account(s) prior to the cardholder reporting it lost or stolen.

Employees who are no longer affiliated with the university may be eligible for a refund. The university will automatically refund the remaining credit balance on the account less a $15.00 processing fee per account. If you are no longer an active employee and your account has been inactive for twelve consecutive months, it will be closed and refunded according to state policy. No other refunds will be granted. All refunds are applied to the individual's account at the Office of the University Bursar.

Credit Cards (VISA and MasterCard) as well as eChecks are accepted online only. To make a deposit online, click the "Quick Deposit" button on the front page of our site.

To set up or change Payroll Deductions for Hokie Passport or Dining Dollar deposits, please fill out the Payroll Deduction Form. To submit the form, you may drop it by our office, mail it to us, or fax it to us. All Virginia Tech Faculty and Staff (except Wage employees) are eligible. The minimum payroll deduction per pay period is $5.00.

To view your account balances and transaction history, log in to our website, www.hokiepassport.vt.edu, using your PID and password. You will be able to view your balances and will have the option to select the plan(s) and date(s) that you wish to review.

Credit/debit cards, Apple Pay, and Google Pay are accepted in the dining centers.

Unfortunately, we are unable to mail ID Cards/Badges. We must verify your identity in person prior to releasing your ID Card/Badge.

Unless worn daily for religious reasons, all hats or headgear should be removed for the photo. In all cases, no item or attire should cover or otherwise obsure any part of the face.

Name changes must be updated in the University system before a new Hokie Passport may be issued. Undergraduate students must contact the University Registrar at registrar@vt.edu or (540) 231-6252. Graduate students must contact the Graduate School at grads@vt.edu or (540) 231-6691. Faculty and staff must contact Human Resources at HRServiceCenter@vt.edu or (540) 231-9331. Once a name change has been entered into the university system, the individual must visit the Hokie Passport Services office to request a new Hokie Passport. To avoid a replacement fee, the patron must surrender their old Hokie Passport.

Unfortunately, no. Hokie Passport Services does not disburse ID card photographs at this time.

You will need to bring a valid form of photographic identification such as a driver's license or international passport. If you are not yet listed in the university system as an active employee, you will be required to present an offer letter or to have your departmental representative send us an email request.

Employees must bring damaged cards to our office for review. ID cards damaged due to normal wear are replaced at no cost. ID cards damaged not due to normal wear are replaced at a cost of $25.

Hokie Passport ID cards are frequently turned in to our office. To turn in an ID card or to determine whether your ID card has been turned in to us, call us, email us, or stop by our office.
